"Welcome to California"

Our client was looking for an immersive shared experience for all 6,000 of their attendees during their stay in Orange County. While they ultimately chose our destination for their meeting, some other nearby California destinations were also being considered – SO, we brought the best of California right to their event – road trip style!

Brief Overview

Throughout the Grand Plaza, we created chronological stops with custom signage noting the destination guests were approaching as they walked through the plaza to the various areas. Each area was strategically created to enhance the particular city with destination specific décor, food & drinks, activities & more.

Each guest received a custom wearable map (which slapped around the wrist like a bracelet) that provided a full map of the event venue, as well as a listing of all activities, schedules, and specific event information. Guests also engaged in a fun interactive game through a convenient to download app right on their cell phone! GPS was used to guide groups towards specific vendors and performances throughout the space, and trivia games were created to integrate the company’s 90 years of insurance history.

In total, guests were able to “visit” six distant California cities in just one evening:

where stringer lights created a classic SD evening and a custom logo sand sculpture greeted guests upon arrival

where carnival booth games, face painters, strolling magicians & a children’s ferris wheel entertained families

San Francisco

where the world of tech called for roaming interactive robots, LED Hula Hoop & Acrobatic Performers, & the main LED Stage

Venice Beach

where bohemian stilt walkers, Venice themed professional roller skaters, metallic tattoo stations, and bucket drummers brought the culture straight to OC

Napa Valley

where a relaxing ambience encouraged tastings from custom wine flights and delicious bites from various food truck vendors

Huntington Beach

where vintage woody’s & surf boards created the perfect photo op as the Beach Doo-Wop group performed throughout the evening

Results

How about that! At the end of the evening the event closed with an energetic concert by a popular local band. Guests were left feeling an exciting sense of camaraderie among each other, and just as importantly – our client left thrilled with the execution of the entire program.

Lots of Moving Parts!

Our client PON recently added Dorel, the largest owner of bicycle companies in the world, to their portfolio. They wanted to bring their new and existing partners together to celebrate this milestone and to train their teams. Our team at Eventis was tasked with planning and executing a memorable event that would showcase the client’s brand and highlight their leadership position in the bicycle industry.

Brief Overview

We encountered several challenges during the planning process. Our team had to quickly pivot and work with the client, local partners, and hotel to come up with new options.

With quick thinking and wonderful collaboration between our teams, we made it happen! One of the major events during the program was a daytime trip to Empire Polo fields on 400 e-bikes. We collaborated with multiple partners and the client to design a course that would take the participants through the busiest streets during a hugely busy time of the year – we even had to coordinate with the local authorities to temporarily shut down streets for the motorcade!

Another highlight of the program was the Enchanted Desert event, a once-in-a-lifetime experience that included a full stage, ferris wheel, games, food trucks, laser show lighting, and big-name entertainment. Our team worked closely with our partners in transportation and the Enchanted Desert to pull together the event in a short time frame. The event was a huge success and likely to never be repeated at that level again!

Eventis’ Unique Approach

This is what we did to ensure the success of the program:

Closed Streets

We partnered with multiple city leaders to shut down streets temporarily for the motorcade during the e-bike trip.

Leveraged Relationships

Our team leveraged our vendor partnerships to provide guides and safety lines during the trip.

Prioritized Safety

We had two SUVs to lead and chase, eight police motorcycles, an ambulance, and chase vehicles.

Notified Public

We also used digital signs to alert the public about potential delays.

Advanced Notice

We notified residents via digital signs weeks in advance within half a mile radius of the Hyatt.

Results

The client was thrilled with the program, and the attendees gave it a 9.4 rating, the highest of any PMD event they had done to that point. The program brought together new and existing partners and allowed the client to showcase their brand and leadership position in the bicycle industry. Thanks to the hard work of our team, the program was a huge success and exceeded the client’s expectations.

Polo In Paradise!

"Welcome to SoCal!"

Our client presented us with an exciting opportunity to create a 5 day program for their group of 450 guests. This program consisted of arrivals, an off-site Chairmans Brunch, a welcome reception, an awards ceremony, off-site activities and a final night reception!

Brief Overview

The Chairmans Circle arrived one day early for VIP transfers to the resort. The following morning we arranged mini coaches to transfer our VIP’s to their Chairmans Brunch – “Polo in Paradise!” We reserved an exclusive 7 acre private estate which we elevated with wonderful décor from bamboo lounge cabanas and antique-inspired wrought iron/distressed wood bars to themed centerpieces and beautiful dining environments. Guests enjoyed cocktails on the upper deck before heading down to enjoy brunch on the lower tier.

While on the lower tier, guests overlooked a beautifully maintained polo field where a professional polo match ensued. Throughout the match, an elegant brunch was enjoyed with passed appetizers, plated courses & premium bars with specialty cocktails (another Pink Pony please!). In addition to brunch, stomping of divots and hat stations kept guests entertained. Photo ops followed with a meet & greet of the professional polo players!

To The Resort

VIP’s were then transferred back to the resort to recuperate before the remaining guests would join them for the Welcome Reception at the Pixie Pool & Lawn.

Oversized wooden lanterns lined the entrance, cornhole and a revolutionary 360-camera rig accompanied cocktail tables draped in soft blue with dried floral bud vases and votives near the Pixie Lawn bar while dining rounds with specialty linens and centerpieces sat near the food on the opposite end of the lawn. As guests passed through from the lawn to the Pixie Pool they were greeted with lounge sofas & love seats, cabanas, food & drink, interactive games & a roaming Duo (local from Santa Barbara!)

Awards & Activities

Day three included business sessions and awards ceremonies followed by a day of rest and leisure before the last leg of the program.

On the final day, guests participated in a handful of activities throughout town, one of which being “The Best of Ojai” - an indulgent walking tour we curated with one of our favorite local historians, Dr. B. Deluxe round trip transportation, Eventis staff to oversee the event, a guided history and architectural tour with Dr. B and various tastings at local wineries, restaurants and shops ensued.

Lavender, Leather & Live Music

As evening fell, the final night reception - “Leather & Lavender” - emerged. Gates opened at 6:00pm where guests enjoyed dinner and cocktails in the Courtyard and Farmhouse Great Room accompanied with live music by American Idol star, Adam Lasher. Dried lavender centerpieces, leather accents, amber bottles and burlap finishes tastefully accented both areas.

Concert Under The Stars

Following dinner and cocktails, guests enjoyed two main stage acts on an expansive open air stage out on the Farmhouse Lawn. For their “Concert Under The Stars” we created a relaxed summer ambience with mixed seating to include Adirondack chairs, firepit seating clusters, couches and theater style concert seating. 400 branded picnic blankets were displayed in galvanized buckets and thrown on to Adirondack chairs and couches - and also to grab at the “merch booth” along with s’mores kits and meet & greets with the bands!

Results

Guests enjoyed the good vibes throughout the evening as duo’s from “the voice” and a six piece band lit up the night.

Music Festival-Themed Incentive Event

TAG Group, an event planning company, was tasked with organizing a memorable incentive event for 500 salespeople in the music/entertainment industry. Our team stepped in to assist with planning and executing their events throughout the entire week.

Brief Overview

The event was only three weeks away when the client realized the need for a local partner to coordinate logistics and create the experience – a music festival-themed event at Z Estate.

Multiple planners were involved in decision-making, and constant communication was necessary between all partners to ensure a cohesive event. The end client explored multiple themes, and Eventis had all vendor partners on standby, knowing they would be doing “something,” but they were unsure of what that would be.
